We are looking for someone to provide effective Administrative and Finance support at our clients national office. They are a friendly charity, geared to helping the people with mental health issues in Scotland.

Job Details:

Key Responsibilities:

Administrative Support

  • Welcome callers and visitors to the national office
  • Provide an effective reception service to all stakeholders (the public, funders,
  • media, people who use the service and providers), including taking appropriate
  • action with incoming calls or redirecting as appropriate
  • Assisting staff across the organisation with queries and requests
  • To undertake standard office administration duties including reception, filing,
  • photocopying, ordering stationery/equipment and the processing of incoming and
  • outgoing mail
  • Assist the Officer Supervisor with administrative tasks relating to HR, PVG checks
  • and recruitment
  • Providing support in the administration and development of leaflets and other
  • publications
  • Maintain, develop and improve efficient and effective manual and electronic
  • systems for the organisation
  • Assist with the administration of national events and arrange meetings/set-up
  • rooms, refreshments etc; arrange any travel/accommodation as necessary
  • Undertake any other reasonable duties as required
  • Information and Communications Support
  • In the absence of the Information Officer assist in dealing with calls to the
  • Information Line
  • Signpost people who call to other appropriate services/organisations
  • Support fundraising events as needed

Finance Support

  • Support the Finance Manager and Finance Officer with administrative tasks
  • relating to finance and payroll as needed
  • Maintain systems for the purchase and distribution of staff phones/mobile phones,
  • computers and other equipment
  • Maintain systems for setting up/cancelling or changing staff email accounts as
  • part of the administration of systems
  • Deal with queries/changes around the organisation’s telecoms and IT needs
  • General Duties
  • To participate in regular support and supervision and an annual appraisal
  • To be willing to undertake training and be committed to on-going personal and
  • professional development
  • To adhere to the values, approach and policies of Support in Mind Scotland
  • To comply with all necessary health and safety arrangements
  • To undertake any additional and appropriate functions as required. Any
  • additional duties will usually be to cover unforeseen circumstances or changes
  • in work, and will usually be compatible with the regular type of work. If an
  • additional task or responsibility becomes a regular and frequent part of the job,
  • it will then be included in the job description following consultation with the postholder
  • Attend staff meetings and contribute suggestions and ideas
  • Deputise for the Office Supervisor

Required Skills:

  • Good level of IT knowledge including ability use word, spreadsheets, presenting data and utilise email applications.
  • Experience of using Microsoft Office/Office365/Financial Accounting Packages
  • Create and maintain complex filing systems 2 Use of scanning and printing equipment
  • General office administration 3 Electronic document management
  • Excellent verbal and written communication skills
  • Organising events/ conferences
  • Good analytical, problem solving, decision making abilities and application of judgement to find solutions to administrative problems
  • Understanding of mental illness and mental health issues
  • Excellent team working skills but able to work on own initiative
  • Experience working with confidential information
  • Previous administration experience in a busy operational environment
  • Experience of writing administrative procedures

Qualifications

You must have at least 5 National 5 grades, qualifications must include Maths and English.

Additional Information:

  • 35 hours per week
  • £12,000 – £17,529 depending on experience
